POSITION TITLE: Associate Director, Project Management and Administration
DIVISION: Pharmacy Practice and Government Affairs
DEPARTMENT: Pharmacy Practice/Professional Affairs
SUPERVISION RECEIVED: Senior Director of Practice and Science Academies
SUPERVISION EXERCISED: None
PURPOSE OF POSITION
: To direct and coordinate programs, functions, and member group management and engagement for the Pharmacy Practice/Professional Affairs Department.
ESSENTIAL DUTIES OF POSITION
Function 1 (20%)
Facilitate and manage the operations and processes of the Practice/Professional Affairs Department.
Triage, coordinate, and respond to internal/ external meeting and information requests.
Coordinate project management/ facilitation of production of deliverables/ work products (creative services, marketing, editorial/publications, training).
Conduct and initiate process optimization and SOP development and maintenance.
Manage team Annual Meeting scheduling, coordination, and support.
Function 2 (20%)
Manage administrative functions and needs for the Practice/Professional Affairs Department.
Serve as Executive Assistant support to SVP Practice/GA, as needed.
Coordinate internal and external appointments with department staff.
Provide meeting management (scheduling, coordination, logistics, set-up, security, minutes recording, action items).
Manage committee and volunteer appointment records management.
Manage department budget, invoices, payment, expenses.
Manage order and inventory of supplies.
Manage department web pages.
Function 3 (35%)
Provide program management for the APhA Awards & Honors Program, APhA Elections Program, APhA Poster and Contributed Papers Program, and Academies Leadership Meeting.
Manage APhA-APPM and APhA-APRS awards nomination and selection process, including related budget, ordering, and presentation.
Perform review of program processes to identify and implement improvements.
Manage APhA-APPM and APhA-APRS election nomination and selection process.
Manage, coordinate, and facilitate Annual Meeting poster and contributed papers program,
Manage the planning, coordination, budget, administration, logistics for the Academies Leadership Meeting event and staff the event.
Function 4 (25%)
Coordinate, direct and manage member group operations and functions.
Serve as a SIG Staff Liaison.
Coordinate with and provide support for other SIG Staff Liaisons and SIG projects.
Manage SIG virtual files/tools/resources.
Coordinate SIG work product deliverables.
MINIMUM QUALIFICATIONS:
Education
required:
A 4-year college degree plus additional experience in project management, association management and leading volunteer groups
Experience required:
A minimum of 5 years of experience in project management, process improvement and systems implementation.
C
ertificate and/or training with focus in project management preferred
4 years managing complex projects and programs
Financial acumen and ability to develop effective strategies to improve financial improvement
Demonstrated ability to motivate, influence and gain commitment by members of the organization
Strong oral and written communication skills
Demonstrated effectiveness in independently solving complex problems, developing innovative solutions and effectively implementing strategies
Demonstrated ability to create and use standard operating procedures
Demonstrated competency in identifying and implementing staff training needs
Experience leading, managing and coordinating workgroups
Experience in creating educational programs and/or advanced degree in education preferred
Additional skills, knowledge and abilities required:
Strong project management skills
Preferred experience as a trainer in process improvement methodologies
Excellent organizational skills
Ability to prioritize and handle multiple work tasks effectively with minimal supervision
Ability to collaborate well with colleagues across all levels of an organization
Proficiency in Microsoft Office (including Word, Excel, Access, PowerPoint, Visio)
Advanced training or expertise in the development of educational materials preferred.
