This position will provide administrative support to the Strategy and Business Development Operations team.
KEY RESPONSIBILITIES
Provide administrative support to the Strategy and Business Development Operations team
Partner with Capabilities manager to keep Sharepoint up to date with key documents (contracts, invoices, itineraries, department tracking forms, etc.)
Submit Purchase Orders and Contracts for all SBD, track accuracy of Invoices and help with budget management efforts when needed. Follow up as needed and report back or escalate accordingly.
Process and track capital call payments
Assist with project management/project tracking as directed
Maintain and order departmental supplies and identify opportunities for synergies across site
Partner with Ops team to coordinate and align tracking, coordination and execution across the Operations team
Support project related work around SharePoint, BDepot (BD project management system), external events and the BD portfolio as needs require
External engagements:
Manage logistics and coordination around all external SBD events, for example, JP Morgan Conference, BIO, and regional events
Partner with the external engagements manager to track and plan all engagements and itineraries
Support successful event management
Qualifications /Degree Requirements
Successful candidate must possess a High School diploma with 5 years project coordinator experience
Strong project & task management.
Ability to translate strategy into action.
Exhibit a positive work approach, with high productivity and a collaborative spirit.
Strong written and verbal skills and the capability to work well with a diverse population.
Strong organizational skills, the ability to multi-task, attention to detail and excellent follow-up skills are required for this position.
Proven skills in balancing competing demands and requests by taking initiative to adjust or change priorities.
Ability to work independently with minimal supervision, using discretion and judgment to know when to escalate concerns or issues, with sensitivity to handling confidential information.
Ability to analyze and solve complex problems with good judgement, often using creative solutions.
In depth knowledge of company internal systems, policies and procedures.
Must be comfortable working with new tools and technologies including web-based and digital communications tools.
Highly proficient in Microsoft Office Suite; including but not limited to Outlook Calendar and Email, SAP, Ariba, SharePoint, Excel, Word and PowerPoint
Adapts easily to new learning situations, knows how to set priorities, is very proactive, reliable and accountable, and works with limited supervision.
